How to grant View Only access to Schwab accounts

View Only online access is for clients who want to share brokerage account information with another Schwab client or with a third party. View Only users can see accounts which they have View Only access, along with their personal accounts, by logging in to schwaballiance.com with their login credentials. With View Only access, they can view account balances, positions, transactions, and statements, but they cannot trade or move money in the account.

Access is granted at the account level only. You can grant View Only access to an account using the digital workflow Update or fund an account (eAuthorization), with DocuSign, or paper forms on Schwab Advisor Center®. Alternatively, account holders may also initiate the View Only access from schwaballiance.com by going to Profile > Account Access.

To grant View Only access, your client will need the following:

Digital Workflow
  • Account holder(s) with an existing email on file
  • Intended viewer’s name, phone number, and email address (can be input by advisors or left blank for the account holder to add during their approval process)
Paper formsAdobe® Reader® or Adobe Acrobat® 7.0 or higher (download the latest version on the Adobe website)

From the Account Management tab:

  1. Click Update or fund an account.
  2. Click Update or fund an existing account to proceed.
  3. Start by identifying the account you wish to add the viewer to, then choose Give account access. Click Save
  4. On the account updates screen, confirm the account and account update selected, then click Next. Or to add the viewer to multiple accounts, choose Add account (up to 10).
    • Note – A second envelope must be created to add a different viewer to the same account.
  5. Enter the authorized viewer’s details or use the drop-down menu to select a previously added viewer’s information, then select the access type. To add view only access, select view only access. Click Next
  6. On the Review screen, confirm the authorized individual’s details, then click continue
  7. On the Finalize and send screen, select the delivery method (Schwab eAuthorization or Prefilled paperwork), envelope submission, and Status Notifications (optional). Click Send to Client.
  8. A confirmation page will appear. 
  9. Your client(s) receives an email for them to review and approve the request.
  10. Once accepted by all account holders, an email is sent to the authorized individual(s) to review and accept.
  11. An alert is sent confirming the authorized viewer has been added to the account(s) and the Status for this request will show as Resolved. 
  12. A confirmation email is sent to the primary account holder and the authorized individual(s).

From the Accounts > Profiles tab:

  1. Click Add authorized viewer link in the top right corner of the 'Account holders & contacts' section. 
  2. Once clicked, you are transported directly into the Update or fund an account digital workflow with the client’s account information and ‘Give account access’ preselected.
  3. On the account updates screen, confirm the account and account update selected, then click Next. Or to add the viewer to multiple accounts, choose Add account (up to 10).
    • Note – A second envelope must be created to add a different viewer to the same account.
  4. Enter the authorized viewer’s details or use the drop-down menu to select a previously added viewer’s information, then select the access type. To add view only access, select view only access. Click Next
  5. On the Review screen, confirm the authorized individual’s details, then click continue.
  6. On the Finalize and send screen, select the delivery method (Schwab eAuthorization or Prefilled paperwork), envelope submission, and Status Notifications (optional). Click Send to Client.
  7. A confirmation page will appear.
  8. Your client(s) receive an email for them to review and approve the request.
  9. Once accepted by all account holders, an email is sent to the authorized individual(s) to review and accept.
  10. An alert is sent confirming the authorized viewer has been added to the account(s) and the Status for this request will show as Resolved.
  11. A confirmation email is sent to the primary account holder and the authorized individual(s).

Select the View Only Authorization Schwab template. 

  1. Select the View Only Authorization form in the forms library on Schwab Advisor Center. Click Select and then select Open PDF.
  2. Complete all applicable sections of the form.
  3. Print the form and obtain signatures from all account holders and the authorized viewer. Send the signed form to your Schwab service team via a Schwab Advisor Center service request.

Note: A separate form is needed for each account and each viewer.

Account holders or authorized viewers can call Schwab Alliance to request removal verbally. This process may be used to remove View Only access using a written letter of authorization.   

  1. Draft a letter of authorization containing all applicable information, including:

    • Date of letter

    • The Schwab account number for which the authorization will be removed

    • The name of the authorized individual being removed

    • Signature of one account holder or the authorized agent on the account

  2. Once the letter is signed, send it to your Schwab service team via a Schwab Advisor Center service request
  • If enrolling via Digital workflow (eAuthorization):
    • Your clients receive both an email and a message in the Message Center of Schwab Alliance. Whichever option they use, they will log in with their Schwab Alliance credentials to access and approve the digital envelope.  
  • If enrolling via DocuSign:
    • Client(s) receive an email requesting a review and signature for the forms. 
    • After selecting Review Documents in the email, clients go through the two-step authentication process.
    • All signers receive an email once the envelope is complete to review and download forms.
    • From the DocuSign Console’s Manage tab, advisors can access the status of envelopes by navigating to their Inbox and/or Sent folder on the left-hand rail.
    • All signatures (client, advisor and reviewers) must be completed within 60 days of the envelope’s creation. Envelopes expire after this time and must be re-created. Advisors can view expired envelopes at any time.
    • Clients receive reminder notifications that they have documents to review and sign on the 2nd day and every 7th day after. Unsigned envelopes expire after 60 days. If necessary, you can resend the client notification emails by navigating to the DocuSign Console.
    • Once received, electronic forms are processed by Schwab in the same time frame as paper forms.
    • Completed and signed forms are available on the DocuSign Console under the Manage tab within the Sent folder.
    • If you have questions about using DocuSign, call your service team. 
  • If enrolling via paper forms or by calling the Schwab Alliance team:
    • Once any authorized viewer has been added to a client’s account, both the account holder(s) and the authorized viewer will receive a confirmation email. 
    • If enrollment was done using paper forms and no email address is on file, a letter will be mailed instead.
  • View Only access is available 24 hours after the request has been approved by all account holders and the viewer has enrolled.
  • The new role is displayed in Schwab Advisor Center, on the Profiles tab for the account. Account holders can see the viewer on schwaballiance.com at Profile > Account Access > Accounts and Roles
  • The authorized viewer’s access ends with the death, mental disability, or incapacity of the account holder(s).
  • If you have questions about granting View Only access to Schwab accounts, call your service team.

To select a form, go to the Forms library located on the Account Management tab on Schwab Advisor Center.

What account information can an authorized viewer see? 
Authorized viewers can review, print, download, and save up to 10 years of historical account information, including tax information, balances, positions, statements, transactions, investment returns, cost basis, reports, and realized and unrealized gains and losses. They can also see other nonpublic, personally identifiable information such as Social Security number, account numbers, mailing address, telephone number, and email address. This access will continue until access is terminated or the account is closed.

Are authorized viewers able to see the View Only accounts on the Schwab Mobile app? 
Yes. View Only functionality is available on both the mobile app and the web browser of a phone.

What is the maximum number of accounts to which an authorized viewer can be assigned?
A total of 50 accounts can be linked to a Schwab.com username and password; this includes any personal accounts in addition to View Only accounts.

Can the digital workflow be used for multiple accounts?
Yes, advisors can update up to 10 accounts within the same digital envelope for their clients.

What happens if an authorized viewer tries to perform a prohibited action (e.g., place a trade) in the account?
They will receive an error message stating they do not have the authority to perform the action, and they will be directed to select another account for which they have trade authority.

Can I cancel an enrollment my client initiated on schwaballiance.com?
No. You can only cancel enrollments you initiate on Schwab Advisor Center. Your client can delete the pending enrollment by calling Schwab Alliance or by contacting your Advisor.

Is the View Only role available to international clients?
Yes. View Only access is available to international clients. Persons with View Only access can reside internationally. For international clients/residents, advisor-initiated online enrollment is not available and View Only enrollment requires paper form submission. 

Note: Supporting ID documents (passport and utility bill) are not required to add international residents in a View Only role. This applies to both international and domestic accounts. 

Can a minor be assigned the View Only role?
No. View Only access can be assigned only to individuals who are age 18 or older. Minors on custodial accounts are not eligible for View Only access.
