How to work with Invoice Reports in Schwab Advisor Portfolio Connect® 

Schwab Advisor Portfolio Connect allows you to prepare invoice reports both individually and in bulk as PDF files, which you can then distribute to staff and clients.

To get started, see the instructions below.

To get started in Portfolio Connect, you will need the following:

User access Users with the Schwab Advisor Center® (SAC) firm security administrator (FSA) designation will have access to all accounts and data within Schwab Advisor Portfolio Connect.

Non-FSA users have:
  • The same account data access on Portfolio Connect as they do on SAC
  • No access to firm level data

Browser Google Chrome provides the best browser experience and is strongly encouraged.
 
Note: some Schwab Advisor Portfolio Connect elements are not supported on Internet Explorer or Microsoft Edge.
Login Schwab Advisor Portfolio Connect is only accessible through SAC by going to More > Portfolio Connect > Continue to Portfolio Connect.

To individually generate a single invoice as a PDF:

  1. Within Portfolio Connect, go to Billing > Billing Overview.
  2. To the right of the account or account group, select the inline menu

     > View Invoice.
  3. At the top right of the invoice, click the print icon.

  4. In the print settings on the right, go to Destination and select Save as PDF.
  5. Select Save at the bottom right.
  6. Select location on local computer and Save.

Note: Invoices can only be viewed for bills in the Locked, Transmitted, Reconciled and Unreconciled status.

To bulk-generate multiple invoice reports as PDFs:

  1. Within Portfolio Connect, go to Reports > Invoice Reports.
  2. At the top-left, select the billing period from the Date Selector drop-down. Choose Quarterly or Monthly view depending on your firm needs.
  3. Check the box(es) to the left of the invoice(s) > Actions > select Generate PDFs.
  4. Review the invoice(s) then click Generate.

Note: Re-generating an invoice must first be done on the Billing Overview followed by regeneration on the Invoice Reports list.

To bulk-download multiple invoice reports as PDFs:

  1. Within Portfolio Connect, go to Reports > Invoice Reports
  2. At the top-left, select the billing period from the Date Selector drop-down. Choose Quarterly or Monthly view depending on your firm needs.
  3. Check the box(es) to the left of the invoice(s) > Actions > select Download PDFs.
  4. Review the invoice(s) then click Download.

You can view the request status in the message center on the top of the Invoice Reports List. If generation of the PDF file is not successful, the system will indicate reports with a status of PDF Failed. You can try to generate the PDF version again for that invoice.

To generate all PDFs for a selected period:

  1. Within Portfolio Connect, go to Reports > Invoice Reports.
  2. At the top right, click Generate All PDFs.
    Note: For non-FSA users, the Generate All PDFs button will be disabled. To replicate this workflow, non-FSAs can use the All column header above the check boxes on the left side of the grid.
  3. A window will open to allow you to review reports under Reports to Generate. You can also review reports the system was unable to generate under Excluded Reports.
  4. You can exclude an invoice from the list by clicking the in-row X on the right.
  5. Click Generate to continue.

To download all invoice PDFs for a selected period:

  1. Within Portfolio Connect, go to Reports > Invoice Reports.
  2. At the top-right, click Download All PDFs.[Note: For non FSA users the Download all button will be disabled, non FSA can use the 'All' column header to replicate this workflow.]
  3. A window will open to allow you to review reports under Reports to Download. You can also review reports the system was unable to download under Excluded Reports.
  4. You can exclude an invoice from the list by clicking the in-row X on the right.
  5. Click Download to continue.
  • If certain invoices require changes, make the necessary updates in Portfolio Connect, re-generate and lock the fee on the billing overview first, then re-generate and download from the reports tab to ensure the invoice PDFs include these updates.
  • If items within individual PDF invoice (such as footnotes or disclaimers) need customization outside of Portfolio Connect, Adobe Acrobat® will be required. Download the latest version on the Adobe website.
