Introduction to the Profiles tab

The Profiles tab on Schwab Advisor Center® provides easy, online access to a wide range of client account information, such as authorizations, electronic delivery preferences, mobile and web access, and account holder and contact data.

Key features related to profiles:

  • Online access to client account information includes:
    • Client authorizations and issuer communications status
    • Account and electronic product preferences
    • Detailed account holder and contact data
    • Record of client's access of the Schwab mobile app within the previous six months on the account, account holder, and master account views of the page
  • eDelivery Enrollment and Status tool enables you to send out enrollment instructions:
    • Initiate eDelivery enrollment on your clients' behalf
    • Initiate Schwab Alliance login credentials on your clients' behalf

Key information related to profiles:

  • Data can be downloaded in a comma-delimited file.
  • Data can be presented in three views: group view, account view, and account holder view.
  • You must be assigned the following security functions by your firm’s security administrator:
    • Read data access Tooltip  for each master account
    • Access Profiles Tooltip to view the Profiles tab
    • Access Paperless Documents Enrollment Tooltip to access the Paperless Documents Enrollment and Status tool from the master account Profiles tab
    • Access to Export Tooltip to export profiles data from the master account or custom group views
    • Access Personal Trust View Tooltip to view the trust-related fields associated with profiles

Profiles views

There are three different views available on the Profiles tab:

group view This view provides a snapshot of key profile data across all accounts in your selection (firm, master account, or custom group). From this view you may:
  • Customize the view with up to nine fields
  • Export all profile data for the firm, master account or custom group to a .csv file
  • Access Schwab Alliance and eStatements
account view This view provides a profile of the selected account. This includes account registration details, account holders and contacts on the account, account preferences, and account restrictions. In addition, if the account is a trust account and has enrolled in Personal Trust Reporting Services, then trust data will be displayed. From this view, you can perform paperless-related tasks on the selected account, including:
  • Initiating a schwaballiance.com user ID and password for your clients
  • Managing account holder email addresses (used to send the paperless enrollment instructions email and for eStatement notifications)
  • Managing account-level email addresses used to deliver eConfirms and electronic shareholder materials
  • Turning paper back on for statements, confirms, or shareholder materials
account holder view This view provides a profile of the selected account holder. This includes the account holder's date of birth, address, employment information, and accounts.

 

Document delivery options

The Document Delivery section of the Profiles tab provides information on delivery options selected for regulatory documents including statements, trade confirmations, and shareholder materials.

Your clients have three delivery options: online, email, and paper. Online and email selections indicate that the client enrolled in paperless delivery, such as eConfirms and/or eStatements. A paper selection indicates that the client receives those documents via the U.S. Postal Service. You can update client- and account-level emails by clicking Edit in the "Send To" column.

 

Exporting profiles data

You may export all available profiles data in comma-delimited format from the group (customizable master level) view or the account holder view. This applies to individual account holders, custom groups, and master accounts. Simply click Export and save the file to the desired location. Information on the account view can be printed but not exported.

What paperless tasks can be performed on the Profiles tab?
The following paperless tasks can be performed on the Profiles tab:

  • Initiating a schwaballiance.com user ID and password for your clients
  • Managing account holder email addresses (used to send the paperless enrollment instructions email and for eStatement notifications)
  • Managing account-level email addresses used to deliver eConfirms and electronic shareholder materials
  • Resuming paper delivery for statements, confirms, or shareholder materials

How can I update the data contained on the Profiles tab?
The only fields that can be updated on this tab are email addresses, Schwab Alliance activation, Schwab Alliance view, and paperless enrollment. For all other fields, complete the appropriate account maintenance forms.

How often is information on the Profiles tab updated?
The majority of information on the Profiles tab is updated in real time. However, certain account features, such as new accounts, are captured nightly and displayed the following day.

Who do I contact for technical problems on the Profiles tab (e.g., export data problems, search feature not functioning, pages not appearing, etc.)?

How can I add a nickname to an account?
Firm Security Administrators have access to create and update nicknames for accounts and master accounts. To create and edit nicknames, select “edit description” from the Actions dropdown menu on the Profiles tab. Nicknames will then display as the primary descriptor for the account or master account. 

While all users can see nicknames, only Firm Security Administrators have access to create and edit nicknames. Firm Security Administrators can grant users access by adding the security function “Update Nicknames” to specified user groups. Nicknames will only show on Schwab Advisor Center and are not seen externally by end clients. To view nicknames within the table on the Profiles tab, the “Account Description” column must be enabled by clicking on the “Columns” hyperlink and selecting “Account Description.”

Note: Many tabs (such as the Positions tab) have the “Actions” dropdown. As a result, Firm Security Administrators, and those with nickname access, are not limited to updating nicknames on just the Profiles tab.
