How to download and upload files using Schwab Data Delivery®

How to collect investment advisory and related fees 

Schwab Data Delivery is a computer application available through Schwab Advisor Center® that is used for downloading, uploading, processing, and viewing client account data through the end of the previous business day. Schwab Data Delivery enables your firm to download and upload client account files to your computer.

To download and upload files using Schwab Data Delivery, you will need the following:

* Schwab Data Delivery Upload capability is only offered to clients of Retirement Business Services and Corporate Brokerage Retirement Services.

This process may be used to schedule automatic downloads or uploads of new files in Schwab Data Delivery. Please note, Schwab Data Delivery Upload capability is only offered to clients of Retirement Business Services and Corporate Brokerage Retirement Services.

  1. Launch Schwab Data Delivery from the shortcut on your desktop or via Schwab Advisor Center (More | Schwab Data Delivery).
  2. Click Schedule automatic tasks at the top of the dashboard to open the Schedule Automatic Tasks wizard. Select Download as the task type (Upload or Download) and enter a schedule name, choose a delivery frequency (daily is recommended), and click Next.
  3. Select the start time Tooltip , frequency, and the start and end dates, then click Next.
  4. Verify the information entered is correct and, if needed, click Revise to make changes.
  5. Click Finish to complete the automatic task set-up process. Click OK to confirm the new task.
  6. Repeat steps 2 through 6 to schedule subsequent task times.

This process may be used to manually download files in Schwab Data Delivery.

  1. Launch Schwab Data Delivery from the shortcut on your desktop or via Schwab Advisor Center (More | Schwab Data Delivery).
  2. Either select Download all new files or Download specific files. If you choose Download all new files, skip to step 6. Otherwise, continue to the next step.
  3. Select the file types you want to download, click Next, select the master accounts to download, and then click Next again.
  4. Choose whether to download new files, previously downloaded files, or all files. Select the date range of the files you want to download by manually entering the date range or by selecting an option from the Period drop-down list. Click Search.
  5. Select each file you want to download or click Select all, then select Download Selected Files.
  6. Click Yes to confirm the download. 
  7. Once all files are downloaded to your computer, the download information will appear in the Data Viewer or the Recent Activity section of the dashboard.

This process may be used to manually upload files in Schwab Data Delivery. Please note, Schwab Data Delivery Upload capability is only offered to clients of Retirement Business Services and Corporate Brokerage Retirement Services.

  1. Launch Schwab Data Delivery from the shortcut on your desktop or via Schwab Advisor Center (More | Schwab Data Delivery).
  2. Select Upload all new files.
  3. Click Yes to confirm the upload. Once all files are uploaded to Schwab, the upload information will appear in the Recent Activity section of the dashboard.

Note: The ability to generate reconciliation files is no longer supported after classic file retirement.

This process may be used to manually generate reconciliation files in Schwab Data Delivery. To automatically generate reconciliation files, see How to set up Schwab Data Delivery® preferences.

  1. Launch Schwab Data Delivery from the shortcut on your desktop or via Schwab Advisor Center (More | Schwab Data Delivery). Select Generate reconciliation files.
  2. Select the master account to download, choose the file date, and then click Generate reconciliation files.

Once you submit your request:

  • Automatic downloads and uploads will begin according to your specified start time and frequency. Go to the Scheduled Tasks section of the dashboard to view, delete, or revise your automatic tasks preferences.
  • If downloading files:
    • Downloaded files are available in the folder specified for each master account.
    • Once automatic downloads start running, you can view the download status in the Recent Activity section of the dashboard.
  • If uploading files:
    • Login to Schwab Advisor Center and select More > View Upload History to check the status of the files you uploaded.
    • Uploaded files move to the archive folder(s) configured in the Upload Preferences tab.

How long are files available to download from Schwab Data Delivery?
Schwab files are available for up to two years on Schwab Data Delivery.

Why can’t I upload files using Schwab Data Delivery?
The user id and password you saved in the General Preference tab does not have the correct permissions to use this feature. Contact your firm security administrator to verify your permissions. Please note, Schwab Data Delivery Upload capability is only offered to clients of Retirement Business Services and Corporate Brokerage Retirement Services.

If my client previously had their Schwab account at another firm, am I able to download their historical information?
No. You can download client information and transactions only from the date the account was added to your firm's management.

My portfolio management software/website is not compatible with Schwab’s files. Who should portfolio management company talk to at Schwab to get more information on the file types and specifications?
Most portfolio management companies can use Schwab files. If your provider would like more information on Schwab files, have them contact Advisor Platform Support at 800-647-5465.

Is there another way to schedule automatic downloads?
Yes. If you have technical expertise available, you can build a script that will automatically download Schwab files.
